We are so excited to gather on the Eastern Shore for a few days of connection, inspiration, and fresh Chesapeake Bay air.

Our home for the offsite will be Chesapeake Bay Beach Club and The Inn at Chesapeake Bay Beach Club — a waterfront retreat destination just over the Bay Bridge from Annapolis.

High-Level Schedule and Speakers

  • Monday, May 4 - afternoon/evening arrival for function leaders and west coast travelers, reception at 6:30 pm for those who can make it.

    Tuesday, May 5

    • Function leaders meetings from 9:30 - 12:30 + lunch

    • West coast arrivals: open day to work remotely, lunch on your own

    • All team: Afternoon arrival, 3 pm check in guaranteed.

    • Welcome reception starts at 4:30, followed by casual bayside dinner.

    Travel Notes:
    • We will organize airport shuttle transportation and will provide travel guidelines in March.
    • If driving, parking is available on the property.

  • Two Buildings, One Seamless Experience.

    The Beach Club is the broader waterfront event campus, and The Inn is the boutique hotel where we will stay.

    They are part of the same property and are fully integrated — you can walk between them using landscaped pathways or shuttles.

    You will:

    • Sleep at The Inn

    • Gather for meals and meetings at The Beach Club.

    • Enjoy outdoor spaces overlooking the Chesapeake Bay.

    • Move between sessions, meals, and activities on foot.

  • As in our previous gatherings, we will host several activities at and near The Inn & Chesapeake Bay Beach Club.

    CBBC offers a variety of activities for free time outside of our programming.

Offsite Logistics

    Shuttle details will be shared in April for those coordinating rides from Airports, Train Stations, and the Bethesda office.

    Monday Arrivals - Senior Managers and cross-country travelers: Arrive at the Inn at Chesapeake Bay Beach Club. Check into rooms guaranteed at 3 pm. Casual dinner will be held at 7:30 pm for those who can make it.  

    Tuesday Arrivals - Arrive at the Inn at the Chesapeake Bay Beach Club, any time between noon and 4:30 pm.  Note: check into rooms guaranteed at 3 pm.  Appetizers, drinks, and waterfront games start at 4:30 pm. Dinner at 6 pm.  

    Shuttles:

    BWI Arrivals - IA will provide shuttles to the CBBC at TBD. Pickup at BWI will be at Arrivals, Door 4.

    If you are arriving by Amtrak, the BWI shuttles will pick up after leaving the airport.

    There will be rides available from the Bethesda office. Please see Marcia for details.

    Driving from BWI Airport to CBBC in Stevensville, MD, takes approximately 40-50 minutes. Please travel with water and snacks.

    On Thursday, there will be two shuttles from CBBC to BWI, departing at TBD.

    Each shuttle group will have an assigned “captain” for onsite coordination for the pickups. Please contact your captain upon arrival to keep your shuttle on time.

    Thursday Departures - we will publish shuttle schedules in April.

  • Each team member will have a private room and bathroom, and you will receive your room assignment at check-in. A personal credit card will also be required upon check in in the event you have any personal charges that are not covered as part of the Offsite. Items that are NOT covered by ImpactAssets include items at the bar (specialty coffees and all other drinks), ALL mini bar items, and coffee/gift shop items. All other expenses, including gratuity, are covered.‍ ‍

  • During the offsite, we will have three meals per day, including a substantial continental breakfast, buffet lunch, and dinner served buffet or family style. Meals will offer vegetarian, pescatarian, gluten and dairy free options to ensure all are able to enjoy!

    In keeping with our values, we have asked to resort to be very conscientious of waste so you’ll notice that the food will not be “overflowing.” If there is anything you need, the staff will be very accommodating so please ask!

    Our meeting rooms will have various snacks in the afternoon and coffee and sparkling waters available throughout the day.

    Dinner will include a selection of wines and beers, along with various non-alcoholic beverages. Cocktails and additional drinks will be available at the bar until 10 pm (at your own cost).

  • Updated travel and expense guidelines are in the Employee Handbook and the expense reporting form is here. Please be sure to review these prior to the offsite, and carefully track your travel expenses so you have the required documentation for reimbursement. Submit your expense report as soon as possible after the offsite but no later than 60 days.

  • As we will be together in meetings and small group activities, we kindly ask you to be conscientious of your health. If you are feeling under the weather, please be conservative and wear a mask to contain germs (masks will be available at the front desk). If you need to opt out of activities or meals, we can arrange for room service to your room.

    Hospitals and medical care are located within 15 minutes of the resort if care is needed.

Dress Code & Weather

Information about what to wear and the weather in Stevensville, MD, during our time there.

  • The offsite dress code is business casual, with an emphasis on being polished yet comfortable.

    • Tops: Non-graphic long- or short-sleeve shirts/blouses during meetings (collared shirts, sweaters, and neat tops are all appropriate)

    • Bottoms: Slacks, clean jeans (no rips), dresses, or knee-length skirts

    • Footwear: Clean, comfortable shoes — dress shoes are not required; polished sneakers are acceptable

    Please note: Workout or athleisure wear (including yoga pants, tank tops, crop tops, gym shorts, etc.) is not appropriate for meeting sessions.

    May in Stevensville is a pleasant transition into summer, with daily high temperatures warming from 70°F to 77°F and refreshing evening lows in the 50s. The spring season does bring a 30-35% chance of rain on any given day. While humidity begins to rise slightly toward the end of the month, the air generally remains comfortable, making it an ideal time to enjoy the waterfront breeze. We recommend bringing layers for comfort when spending time outside.

  • Water bottle and a few personal snacks for traveling

    Bring a change of clothes so that you can participate in some sort of physical activity like a walk. There is also a pool!

    Wear IA swag if you have it (t-shirts, sweatshirts, hats, etc.)

    Dress in layers to prevent being too cold or too hot – a warm jacket will be needed in the evenings.

    Sunglasses/hat/beanie (may wear shorts/sandals before and after daily meetings)

    Rain is possible, and you may wish to consider a hooded and waterproof jacket or a small umbrella.

  • There is an optional sailing/boating activity on Wednesday. It’s best to wear comfortable, weather-appropriate clothes on the day. We recommend bringing a jacket to protect you from the wind and spray. It’s also important to remember that it is often a little cooler on the water than it is on land, so dress in layers.

    Shoes should be comfortable, closed-toed, non-slip, and non-marking. Tennis shoes, sneakers, and trainers are fine, but no black soles.

    Bring a hat, sunscreen, and sunglasses to protect you from the sun and the wind – even if it’s a cloudy day.

    Safety is our number one priority, and Captains will review basic safety procedures before heading out. The boats will have food & beverages on board for your enjoyment.

  • o Team social events are designed with inclusion in mind – all are strictly “opt-in” and have offerings to serve different energy levels, accommodation needs, learning styles, and personalities.

    o We will allow for multiple ways and spaces to interact with meeting materials to support different learning styles.

    o Plenty of bio breaks and movement to support both physical and mental engagement.

    o Name tags will ensure all team members are called by their preferred names and pronouns

    o Personal space will be respected as indicated on the name tag lanyard:

     Green = touching/hugs are great

     Yellow = handshakes/fist bumps preferred

     Red = no touch, please

  • Please note that this Offsite is considered a work event (at all times) and the policies and commitment to standards outlined in our Employee Handbook govern all of our interactions. If you have any questions or concerns during the offsite, please contact Susan Adams or Katrice Baughman in HR.

  • Meeting norms are guidelines to help manage bias and increase inclusion. We often take our own preferences and communication styles for granted and treat them as a default. Therefore, the following guidelines will help support us in our efforts to ensure all are valued:

    • Respect everyone’s time by starting and ending on time, coming prepared and ready to engage.

    • Be present - put away phones and minimize the use of laptops during the meeting (unless required for meeting content)

    • Help us to stay on topic – please speak up if you feel like we’re getting off track.

    • Look ahead to positive action, not back on “shoulda, woulda, coulda”

    • Balance participation - speak and listen, give space for people to share a different point of view or to disagree.

    • Ask questions for clarification to help avoid making assumptions.
